Please take time to read the following terms and conditions carefully. They are the basis of the contract between yourself and Mountain Adventure Camps Ltd. At the time of booking, you will be asked if you have read and understood the Mountain Adventure Camps booking conditions. 

A contract will exist between us when we have taken your booking and required deposit. You will receive a confirmation and invoice detailing exactly what has been booked. If you think anything is incorrect please contact us straight away. All correspondence will be with the person named on the confirmation invoice who accepts the following conditions on behalf of all participants. The contract between us is governed by English Law and any dispute will be dealt with under the exclusive jurisdiction of the courts of England and Wales. Any monies paid to an appointed agent will be held by the agent for Mountain Adventure Camps until they are paid over to Mountain Adventure Camps.

Mountain Adventure Camps Ltd is a UK company registered in England and Wales with company number 07737532. The registered office is 9 Saltcoats, South Woodham Ferrers, Chelmsford, Essex, England CM3 5LE.  Mountain Adventure Camps Ltd are also registered in France with the RCS Chambéry under number 812 257 574.

Cancelling Your Booking

If you find that you cannot take your place at summer camp/family adventure holiday and have to cancel, for whatever reason, your deposit will be forfeited to cover our costs. If we receive your written cancellation within 56 days of your camp commencement date, higher cancellation charges will be made, as follows:

  • 56 to 29 days prior to commencement – 30% of the total price.
  • 28 to 15 days prior to commencement – 45% of the total price.
  • 14 to 1 days prior to commencement – 100% of the total price.
  • On or after the commencement date – 100% of the total price.
  • The date of effective cancellation is calculated on the day of receipt of written advice in our Reservations Department.

100% of travel costs are forfeited.

Changing Your Booking or Travel Arrangements

If, after you have confirmed your booking, you wish to make any alterations, an administration charge of £25 may be made per camper/guest. Any such amendment may be telephoned to Mountain Adventure Camps in the first instance but must be confirmed in writing immediately thereafter with the appropriate amount enclosed. However, if a major amendment is requested less than 8 weeks prior to the starting date of the camp, we reserve the right to treat your request as a cancellation and charge the appropriate cancellation fee as detailed below.

In order that all our staff have the correct information we cannot accept additions or alterations to travel arrangements within 7 days of the commencement of the camp.

Complaints

If there is any problem with the summer camp/family adventure holiday, we want to put this right for you as soon as possible. We would ask you to make immediate contact with either the centre or Head Office. If we have been unable to find a solution, you have 28 days from the end of your summer camp/family adventure holiday to write to us to explain your grievance.

If you are still unhappy, your complaint may be referred to arbitration under a special scheme arranged by the Association of British Travel Agents in conjunction with the Institute of Arbitrators. This scheme provides for a simple and inexpensive method of arbitration on documents alone, with restricted liability on a customer in respect of costs. The scheme does not apply to claims for an amount greater than £5,000 per person. There is also a limit of £25,000 per booking form. Neither does it apply to claims which are solely or mainly in respect of physical injury or illness or the consequences of such injury or illness. The scheme can however deal with compensation claims involving minor injury or illness, subject to a limit of £1,000 per person. Application for arbitration must be made within 9 months of return from summer camp/family adventure holiday. Further details can be supplied by ABTA on request. Discounts

At Mountain Adventure Camps we have always believed in offering the best experiences and value for your money, not the cheapest prices.  Any discount available is at the discretion of the Company Directors.

Deposits

All international summer camp registrations/bookings are only valid upon receipt of a non-refundable deposit of EUR 250.–, by bank transfer to our French bank account. The balance must be paid 12 weeks before your child’s arrival.

All family adventure holiday registrations/bookings are only valid upon receipt of a non-refundable deposit of EUR 100.–, by bank transfer to our French bank account. The balance must be paid 12 weeks before your parties arrival.

Final Payment

The balance of your account is payable not later than 12 weeks before camp commencement. If payment is not made by the due date, we reserve the right to advise you of the cancellation of your camp booking and make a cancellation charge at the appropriate rate. Full payment must accompany bookings made within 12 weeks of departure.

Please note that credit card payments for final payments will incur a 3% surcharge – this does not apply to initial deposits.

First Aid

In the event of an accident, first aid will be administered to children/guests in our care, and the emergency services will be called if necessary, unless advised to the by a parent or guardian. 

For those attending our summer camps, essential medication must be handed in to each child’s Group Leader for safe-keeping. In accordance with Ofsted recommendations, we suggest that all parents of children carrying Epipens arrange for a qualified medical practitioner to demonstrate use of the Epipen to our on-site first aider, Site Manager and Group Leader on their first day at camp. If this is not possible then we will accept a demonstration given by a parent/guardian instead.

Travel Insurance

It is essential that insurance cover is in place for all guests. As such, for all children participating in our international summer camp sessions and for all adults and children participating in our family adventure holidays, a travel insurance policy arranged by MPI Brokers and underwritten at Lloyd’s, is provided and the cost of the policy is already included in the price you pay.

The main points of the insurance policy are;

  • Emergency Medical Expenses
  • Cancellation or Curtailment
  • Personal Liability
  • Personal Accident
  • Legal Expenses

Due to the method deployed in arranging this insurance under a group policy and to comply with tax and regulation you are not able to opt out of this policy.

Our Responsibility

Mountain Adventure Camps accepts responsibility for those elements of the summer camp/family adventure holiday arrangements which are under our direct control, and for the acts and/or omissions of our employees, agents, subcontractors and suppliers. Save as set out below, no liability is accepted for personal illness, injury or death.

We do accept responsibility for any personal illness, injury or death which results from the negligent (as the word is understood in the English Law) acts or omissions of any servant or agent, or any supplier, working on our behalf in the provision of services or facilities to you and whilst acting within the scope of their employment.

Please note, however, that we do not accept liability for any air or sea carriers whose individual conditions of carriage apply and are often subject to international agreements. We cannot be held responsible for the failure or inability of any equipment or computer programme to recognise or correctly interpret or process any date as the true or correct date, or to continue to function correctly beyond that date.

We cannot be held responsible for the loss of enjoyment or additional expenses due to delays or changes in any travel arrangements or other services which are caused by circumstances amounting to force majeure, such as, but not limited to war, riot, civil commotion, act of God, Government action, epidemic, disease, natural disaster, industrial dispute or adverse weather conditions. We can only be liable for the provision of special requests where we have confirmed their availability in writing.

Should you or any member of your party have the misfortune to suffer illness, injury or death during the period of your summer camp/family adventure holiday, arising out of an activity which does not form part of the arrangements made by us, we shall, where appropriate, and subject to our reasonable discretion and prior agreement, give you and your family every help that we can by way of initial assistance, including initial legal costs associated there with, up to a maximum value of £5,000 per booking. You must request such assistance within 90 days from the date of the misadventure and in the event of there being a successful claim for costs against a third party or there being suitable insurance policies in force, the costs incurred by Mountain Adventure Camps shall be recoverable from yourselves.

We shall not be liable in respect of any loss of profits, damage to goodwill or any type of special, indirect or consequential loss even if such loss was reasonably foreseeable or we have been advised of the possibility of you incurring the same. Subject to the above, and excluding liability for death or personal injury, our liability shall be limited to £15,000 (pounds sterling) in respect to any one claim.

Photography & Videos

Mountain Adventure Camps may employ a professional photographer who may take photographs and videos during camp for future publication on the companies’ website or for marketing Literature. Further more, Mountain Adventure Camps staff may also take photographs and videos during camp for future publication on the companies’ website or for marketing Literature.

If you do not want yourself or your child to be photographed or videoed, please advise us at the time of booking. By agreeing to these conditions you are granting Mountain Adventure Camps Ltd the right to use the photograph(s) or video(s) and any reproductions or adaptations of the photographs/videos for all general purposes in relation to Mountain Adventure Camps work including, without limitation, the right to use them in any publicity materials, books, newspapers, social media sites and magazine articles whenever Mountain Adventure Camps choose to do so.

Pre-Entry Requirements

Our summer camps and adventure holidays require a high level of active participation. It is in the interests of all members of the group that everyone should be capable of fully participating in the activities. With this in mind, if it is felt that anyone is not able to participate without endangering the health or safety of themselves or any other person (including other group members), or that their presence on the holiday means we will be unable to provide the activity in whole or part to other members of the group as advertised and contracted, the Group Leader at any stage has the right to require them to leave the summer camp or holiday. To ensure that this is never necessary, please make sure that you have fully understood the level of fitness and ability required to complete the holiday. It is your responsibility to let us know if you have any concerns related to this subject. If you have any medical condition or disability that may affect your arrangements in any way, you must provide us with full details at the time of booking. Please also note that there are some minimum height, weight & age requirements introduced for the safety of those taking part. Slight amendments to the activities will be made if anyone fails to meet these requirements. For example; on white water rafting, a child under the age of 10 may have to miss the grade 4 section if they do not meet the minimum height requirement, however, they will be able to participate in the rest of the trip.

For our international summer camps and family adventure holidays the minimum age is 7 years old. In addition to this for certain activities there may be a minimum age, height or weight restrictions – this is normally around 10yrs and/or 135cm. For those that are over 7 years old but do not meet minimum age or height resrictions, alternative activities along the same lines are offered.

Transfer to/from Bourg-Saint-Maurice train station

Our summer camp is less than a 30 minute drive from the international railway station of Bourg St-Maurice. The station is serviced by the SNCF, with TGV services into Bourg St-Maurice from a number of National and International stations such as Geneva, London, Luxembourg and Paris via Chambéry. 

All guests receive a complimentary transfer on a shared basis from/to Bourg St-Maurice. 

Transfers from/to other, local, train stations are also possible, however, there may be an additional cost for this service.

Parents that wish to be met by us at Bourg-St-Maurice train station and travel with their children to our summer camp are more than welcome to do so, however, there may be an additional charge for this service.

Transfer to/from Geneva airport

We provide a complimentary transfer (from/to Geneva International Airport – Cointrin) to our property for all guests on a shared basis for flights that arrive between 11:00 & 15:00 on arrivals day and depart between 13:00 and 16:00 on departure day. If we need to organise a private transfer outside of these times, there may be an additional charge of €150 for this.   The approximate transfer time is 2.5 hours. 

Transfers from/to other airports in France, such as Lyon, Chambery or Grenoble are also possible, however, there will be an additional cost for this service.

Parents that wish to be met by us at Geneva airport/train station and travel with their children to our summer camp are more than welcome to do so, however, there may be an additional charge for this service.

Unexpected Camp Changes

Mountain Adventure Camps will do its utmost to provide all of the arrangements that have been confirmed, but must reserve the right to alter or cancel any activities, accommodation or other arrangements, if operational, weather or other considerations so dictate.

If we have to make a major change to your summer camp or family adventure holiday, we will offer a suitable alternative if available, or 100% refund, if we are not able, in our opinion, to offer an alternative that is sufficiently comparable. Compensation will be paid as below if we have to make a major change to your camp within 8 weeks of camp commencement, unless the change is due to circumstances beyond our reasonable control, including but not limited to war, riot, civil commotion, act of God, industrial dispute, Government action, epidemic, disease, adverse weather or natural disaster.

  • 56–29 days – 10% of price
  • 28–15 days – 15% of price
  • 14 days or less – 25% of price

The price of your camp/family adventure holiday is subject to surcharge due to unforeseen increases in fuel costs, Government action such as increases in VAT or any other Government imposed increases or adverse currency exchange rate variations.

Even in this case, we will absorb an amount equivalent to 2% of the price which excludes insurance premiums and any amendment charges. Only amounts in excess of this 2% will be surcharged.

If this means paying more than 10% of the price, you will be entitled to cancel your summer camp/family adventure holiday with a full refund of all. Should you decide to cancel because of this, you must exercise your right to do so within 14 days from the issue date printed on the surcharge advice.

The prices of our summer camps and family adventure holidays have been priced in Pounds Sterling.

Your Responsibility

It is the responsibility of the parent/guardian or lead party member to advise Mountain Adventure Camps of a child’s or a member of your party’s special diet and swimming ability in writing or by telephone at the time of booking. This information will be reconfirmed to you in our documentation. (All children participating in watersports must be able to meet Mountain Adventure Camps swimming requirements as detailed.)

It is also the responsibility of the parent/guardian, lead party member or other person acting in ‘loco parentis’ to fully advise Mountain Adventure Camps, when booking, and then follow this up in writing, of any illness, disabilities, social or behavioural problems that a youngster/party member currently has, or has recently experienced, which might affect the youngster/party member or other guests during camp. We may request written confirmation from your GP/teacher confirming the suitability of the summer camp/family adventure holiday for your child/party member with particular reference to such considerations as social compatibility, physical access, successful participation and health and safety. We will naturally treat any personal information sensitively and respect confidentiality. We are committed to making our summer camps/family adventure holidays as accessible to as many guests as possible, however, very occasionally we may not be able to provide the service required and will refund any deposit paid.

We reserve the right to exclude any person before or after summer camp/family adventure holiday commencement if important personal details have not been fully declared and/or his/her behaviour is incompatible with the general enjoyment and wellbeing of others. Collection would be entirely at the responsibility and expense of the person acting in ‘loco parentis’ to whom any costs for damage and other expenses incurred would also be charged.

Behaviour deemed inappropriate may include:

  • Under age buying and consumption of cigarettes or alcohol
  • Leaving the site unless accompanied by a Mountain Adventure Camp member of staff
  • Suspected involvement with illegal drugs
  • Entering accommodation used by the opposite sex
  • Theft or illegal activities
  • Threatening behaviour, bullying, offensive or insulting language to other guests, Mountain Adventure Camp staff or any other person resident on camp
  • Anti-social behaviour affecting other guest’s enjoyment
  • Leaving rooms during the night without a legitimate reason
  • Deliberately tampering with safety systems (e.g. CCTV, Fire Alarms)
